Virtual Personal Assistant
A virtual PA usually works directly for a senior executive of a company or sometimes for a group of senior executives within an organisation.
The key thing about being a virtual PA, is that they will work for you online and are normally location independent.
They will be expected to undertake a multitude of varying tasks in this role, vital in helping the company run smoothly. A virtual PA will need to work reliably behind the scenes and is the person the executives can totally depend upon keep everything functioning. A virtual personal assistant is usually asked to undertake private tasks as well.
A skilled executive personal assistant will be required to deal with clients of the company they work for and will be capable of emulating its style, corporate philosophy and corporate persona.
Main duties include:
- Administration – Answering the phone, taking messages, diary management, preparing reports, updating spreadsheets, managing budgets and bookkeeping, maintaining websites and travel arrangements. Executive Assistants might also undertake the management of the administrative details of running a conference or arranging catering, flowers, guest lists for lunch/dinner meetings. The virtual PA might also be asked to take the minutes of meetings and prepare meeting documents for review.
- Organising – Keeping files, desktops, and diaries organised; planning trips and scheduling meetings.
- Personal – Shopping errands, letting a repairman into the executive’s home, picking up dry cleaning or even choosing a gift on their behalf. Trustworthiness and discretion are essential.
- Managing Relationships – Growing positive relationships with clients and people within the company on behalf of the executive. Striking a good balance between being firm yet personable. Excellent written and verbal communication skills as well as the ability to negotiate.
